Holiday Booking Terms and Conditions – Alex Scott & Staff Venus Bay (AS&S-VB)


Please read carefully.  When a booking is confirmed and payment is made these conditions are deemed to be accepted by you.


Holiday Property Bookings

Bookings are accepted by us in good faith as agents for the property owners.  We cannot be held responsible for actions taken by the owner of the premises, or other occurrences that are outside of our control, such as; the property is sold, the property is altered in any way, malfunction of any inventory items, or the property is withdrawn from letting.  Should any of these occur, we will make every reasonable endeavour to find alternative accommodation/replacement items.


Term: The premises are let for holiday purposes only and for the term stated on the booking confirmation.

Smoking: Smoking is not permitted inside any property at any time.

Tents/Caravans: No tents, caravans or any other structure is to be erected at the property at any time. If evidence of this is reported to the Agent, you will be advised to vacate the property immediately with no refund.

Linen: All properties are let WITHOUT LINEN unless otherwise specified.  Tenants must supply their own sheets, towels, pillowslips, tea towels and toiletries.  Linen hire is available.  Please see our website or speak with our staff for further information.  Please note – linen orders must be placed TWO WEEKS prior to your booking to ensure on-time delivery.

Registration: You will be sent an email prior to you arrival requesting your guest registration.  This will include asking for identification for the guest responsible for the booking, and a valid credit card.  Details of the security of this information will be included with the registration email.


Bookings and Payment

Deposit: A 50% deposit is due within 72 hours (3 business days) of confirmation of booking.  See Cancellation Policy (below) for further details.

Balance: The balance of payment is due 28 days prior to the commencement of your stay. If not paid in full by the due date, the booking will be cancelled in accordance with our cancellation policy.

Payment Methods: Payments may be made directly to our Trust Account (details can be found on your confirmation email), or by Visa or MasterCard (service fees apply).

Fees for Changes to Booking: We reserve the right to charge an additional fee of $50 for any changes made to the booking.

Credit Card Pre-authorisations: A $300 pre-authorisation will be made on your card provided, at the time of check in.  This will be released within 7 days of departure pending no damage to the property.


Cancellation Policy

When a cancellation is made by a guest, booking fees are not refundable.

For bookings cancelled 30 days or more prior to the arrival date, the deposit is not refundable unless the property is successfully rebooked by the Agent.

For bookings cancelled within 30 days of arrival and for no shows, the full tariff will be incurred and charged to your credit card if it has not already been paid unless the property is successfully rebooked by the Agent.

A cancellation fee of $100 applies to all cancellations.  This will be deducted from funds held and the balance refunded if the property is rebooked.


During Your Stay

 Keys: If any keys are lost or locked inside the property after hours, a $100 service fee is applicable. If we are unable to provide a key for any reason, then the guest must engage a professional locksmith to gain access.  The locksmith’s invoice must be paid directly to the locksmith at that time.  Guests must not break into, or attempt to break into premises when locked out.

 Cleaning: Cleaning charges will have been included in your booking, however if excessive cleaning is required over and above what is considered by AS&S-VB as a standard clean, the guest will be charged at cost. If, upon occupation, the property or contents fail to meet acceptable cleaning standards, reasonable endeavours will be made to rectify the problem.  However, this shall not constitute grounds for cancellation or refund.

Rubbish: You must take any excess rubbish that does not fit in the bins provided, with you when you leave.  If it is bin night during your stay, please put the bins out on the kerb.  Rubbish collection in Venus Bay and Tarwin Lower is early Monday morning.

Noise: We have a strict NO PARTY policy.  Only the guests staying at the property are permitted to be present.  If you wish to have visitors in addition to booked guests, you must advise us in writing prior to your stay and ensure you receive written permission.  

Security: To prevent theft of or damage to furnishings or your personal property, you agree to close and lock doors and windows when you are not present at the property and upon check-out.

Pets: Your pet is most welcome, but only at our Pet-Friendly properties, who approve your request.  If evidence of a non-authorised pet is discovered, you will be charged for steam cleaning of carpets, furniture and/or mess left by the pet/s.

Please note: Although a property may be described as “Fully Fenced” we cannot be held responsible for the security of that fencing, or guarantee that fencing will be adequate to contain pets. 

 Lost Property: Guests are solely responsible for their own property whilst staying in a holiday rental property, and as such are required to take the usual steps to prevent any property loss, including locking premises and vehicles when not attended.  We reserve the right to charge a $25 fee to collect lost property plus the cost of postage and handling to return the item/s to you.  If not claimed within 30 days, it will be disposed of.
